Troubleshoot Payroll Service Server Error Or Payroll Connection Error

Payroll is one of the most important processes that allow you to pay your employees and manage them. You may receive the following error messages while trying to send payroll or direct deposit paychecks:

  • Payroll Service Server Error. Please try again later. If this problem persists, please contact Intuit Technical Support.
  • Payroll Connection Error
  • Error: QuickBooks Desktop has encountered a problem sending your usage data.

Causes Of QuickBooks Payroll Connection Error

  • The security certificate is not valid
  • You are sending payroll in multi-user mode.
  • Random network timeout restricts QuickBooks to get connected with the server.
  • Internet connectivity issues.
  • Internet security or firewall settings are not appropriately configured
  • Wrong time and date of your system.

How To Resolve The Connection Error?

Follow the below-mentioned steps in order to resolve the error:

Important:

The provided steps will allow you to resolve the payroll service connection issues but you need to perform the below-mentioned steps before mentioned steps:

  • Restart your system.
  • Make sure that your system accurate time and date. If not then set it.
  • You should have the latest payroll tax table update.

If You Are On A Network

  • Run Internet Explorer.
    • Go to Tools > Internet Options > General.
    • Click on Delete from the Browsing History
    • Click on Delete.
    • Make sure that the Temporary Internet files and website files option is selected. (Note, no need to delete Cookies.)
    • Click on Delete & OK.
  • Go to the command prompt and flush the DNS.
    • Go to Start > All Programs > Accessories > Run.
    • Type CMD in the search box and hit Enter.
    • On the Command Prompt, type ipconfig /flushdns and press the Enter
  • Try to send payroll again.

If You Are Not On A Network

Important: Try to send payroll after every steps to check if the issue is resolved or not.

  • Restart your system.
  • Now, Flush the DNS by following the below mentioned steps:
    • Open the Run command by pressing the Windows + R
    • Type CMD in the search box.
    • Type ipconfig /flushdns in the command promts
    • Press the Enter
  • Remove all the temporary internet files.
    • Go to Tools > Internet Options.
    • Navigate to the General
    • Go to the Browsing History section and choose the Delete
    • Click on Delete.
    • Make sure that the Temporary Internet files and website files option is selected. (Note, no need to delete Cookies.)
    • Click on Delete and then OK.
  • Repeat the steps to flush DNS again.
  • Unmark the Publisher’s Certificate Revocation checkbox.
    • Open Internet Explorer and select Tools
    • Go to Internet Options and then select the Advanced
    • From the Security section, you need to uncheck:
      • Check for publishers revocation
      • Check for server certificate revocation
    • Restart your system and try to send payroll again

If You Have Be Safe Application

If the Be Safe application is installed in your system then it won’t allow you to send your information. Be Safe prevents all the financial processes.

  • Restart your system.
  • Restore the default Internet Explorer Advanced Settings.
  • Check if you are on a network and select the appropriate option for you.
  • You should be using QuickBooks in single user mode while sending the payroll data.
    • If other users are logged in to QuickBooks then ask them to log out.
    • Go to File > Switch to Single-user Mode.
  • Get Payroll updates.
    • Go to Employees > Get Payroll Updates
    • Click on Update to update the payroll tax table updates
  • Set the correct time & date on your system.
    • Go to the time and date setting of your system
    • Set the correct time-zone and date and then click on OK.
  • Restart your system.
  • Set Internet Explorer as your default web browser
  • You should be allowed access to the secure web sites such as https://qbdt.payroll.intuit.com/ or your or your bank’s web site. If you are not allowed to access the secure sites then you have to configure your firewall settings.
  • Make sure you’ve downloaded the latest tax table updates and the latest version of QuickBooks.
    • Latest tax table updates for download
    • Latest QuickBooks product release version
    • Make sure you are not using an outdated QuickBooks version
  • Unmark the Publisher’s Certificate Revocation checkbox. To do so, follow the below mentioned steps.
    • Open Internet Explorer and then go to Tools > Internet Options.
    • Navigate to the Advanced
    • Unmark the Check for publisher’s certificate revocation from the Security section.
    • Click on OK.
  • If you are on a wireless internet connection and you also have access to a system that has a cabled connection then try to send payroll from that system.
  • Turn the Shared Download Yes or No.
    • Go to Help > Update QuickBooks
    • From the Options tab select Yes or No to the Shared Download
    • Try to send payroll information again
  • Verify your payroll subscription.
    • For QuickBooks Payroll Basic / Enhanced users:
      • Go to Employees > My Payroll Service > Manage Service Key
      • Click on Edit.
      • Provide your service key and then click on Next and then Finish
      • You will get a notification that says: “You’ve retrieved the latest payroll update and validated your Payroll subscription.”
      • Try to send payroll information again
    • For QuickBooks Desktop Payroll Assisted users:
      • Go to Employees > My Payroll Service > Account Info/Preferences
      • Now validate your account from the QuickBooks Desktop Payroll Account Maintenance
      • Close the QuickBooks Desktop Payroll Account Maintenance page, a validating service window will appear.
      • A message will appear that says: “You’ve retrieved the latest payroll update and validated your Payroll subscription.”
      • Try to send payroll information again
    • Validate your QuickBooks Desktop Internet connectivity.
      • Go to Help > Internet Connection Setup.
      • Click on Use my computer’s Internet connection settings to establish a connection when this application accesses the Internet and then click on Next.
      • Click on Advance Connection Settings then LAN Settings. The Automatically Detect Settings checkbox should be marked and the Proxy Server checkbox should be unmarked.
      • Click on OK and then Done.
    • Add the following websites in the trusted websites lists:
      • .quickbooks.com
      • *.payroll.com
      • *.quicken.com
    • Try to send the payroll information again.

Additional Things To Consider/Steps To Take

If You Are Using A Router

If you use router for internet connection then you need to reset it. In order to reset your router, you need to unplug the power cable and wait for around 10-20 seconds and then plug in the power cable again.

Note: When you unplug the router doesn’t cause loss of any internal settings.
