Hosting is a process that allows other computers to access the file from the main computer that stores the company file. QuickBooks Desktop uses a service to manage company file access:

How Company Files Are Accessed

You must fulfill the following conditions in order to access the QuickBooks company file.

  • Windows File Permissions: The logged in users needs to have permissions set to Full Control that includes permission to view, open and edit the file.
  • QuickBooks Server mode: All the users must have a valid QuickBooks user login and password.

Hosting Modes

The hosting mode is set for all QuickBooks versions and for all systems but it is not set for the company. The hosting mode settings will be independent if the QuickBooks 2016 or later versions are used concurrently.

Basically, there are three hosting modes and they are as follow:

  • In Not Hosting mode:
    • QuickBooks Database Manager initiates as a basic process, as a Windows User running QuickBooks.
    • Multi-user modes are not supported in Not Hosting mode. Not Hosting mode utilize shared memory to connect with QuickBooks. The QuickBooks user can use a database server to access a file in this mode.
  • In Hosting Local Files only mode:
    • QuickBooks Database Server Manager runs as QuickBooksDBXX which is a Windows and as the Windows user QBDataServiceUserXX.
    • The service keep on running as long as the system is on.
    • Using TCP/IP, the Multi-user mode is supported. You can access company files on remote through a database server running in Hosting Local Files only mode.
    • Only those files can be hosted on computers that are located locally on the system.
  • In Hosting Local & Remote files mode:
    • QuickBooks Database Manager runs as a normal process, as the currently logged on Windows user. The process keeps on active until the user logs out from the Windows.
    • Using the TCP/IP, a computer in Hosting Local & Remote file mode can support the multi-user mode. Users can use the database server to access company files using a database server.
    • A file can be hosted by a local computer. Also, the files that are located on remote computers and opened on the local computer.

How QuickBooks Desktop Determines Which Database Server To Communicate With?

  • QuickBooks Desktop requires the .nd file. The .nd file is a file with the exact name as the company file, but it has thw .nd file extension. This file is located in the same folder where your company file is saved. The folder also has the details required to connect the server, such as the IP address and port.
  • QuickBooks Desktop provides the information whether the .qbw file is in use.
  • If QuickBooks Desktop identifies that .nd file and detects that the company file is in use, QuickBooks tries to communicate with the server:
    • If the communication is successful, QuickBooks opens the company file.
    • If it’s not then you may get an error and you need to resolve it instantly. See multiple computer receive error H101, H202, H303, or H505 while opening the company file.

Folder Containing The File Is Not Writable Or Is Not Shared

The folder containing the company file must be shared to other users.

No Network Connectivity

Minimum one enabled TCP/IP adapter and that the hostname of the local machine is resolvable.

Run IPConfig

The IPConfig tool can be very useful in verifying the TCP/IP configuration of your system. This can also be helpful in resolving the issues.

The most common IPConfig commands are:

ipconfig basic TCP/IP information
ipconfig /all detailed TCP/IP information
ipconfig /renew Renew the IPv4 address for all network adapters

 

ipconfig /release Release the IPv4 address for all network adapters

To run ipconfig:

  • Open the Run command by pressing Windows + R
  • In the search field, type CMD and hit enter
  • In the command prompt window, type ipconfig and press Enter.

Network problem: IP reverse lookup has failed.

Check if Windows can produce an IP address from a hostname and reverse the process.

QBCFMonitorService/QBDBMgrN not running or Firewall is Blocking QuickBooks

You may encounter errors if your firewall blocks Internet access needed for specific QuickBooks programs or files. Updating your firewall to the latest release may resolve the issue or you may need to manually configure exceptions and ports needed for your firewall software.

QBCFMonitor Service not running:

  • Setup your firewall for opening the 8019 port for the tool and QuickBooks on the client and server.
  • Make sure that the hosting on the server is turned on. (See above for steps)
  • Ping the server.

QBDBMgrN not running:

  • Setup your firewall for opening the Dynamic database port for the QuickBooks File Doctor, and all the QuickBooks applications. Configure your firewall on all client computers and your server as well.
  • Make sure that the hosting on the server is turned on
  • Make sure you are able to ping the server both with IP and host name on the server and all client computers.
