QuickBooks Desktop stores accurate data of Customers: Jobs, Vendors, Employees, Other Names, Accounts and Items, in lists.

The lists stored in your QuickBooks Desktop can become damaged and these damage issues can easily be repaired by re-sorting the list because when you re-sort, the list go back to its default order. In case if the lists are getting damaged or missed due to your manual modifications then re-sorting will undo all the changes.

You are required to re-sort your lists in the following situations:

  • Your list is behaving oddly like a new entry shows-up on your top of the list automatically.
  • An article or your accountant suggests you re-sort your lists.
  • Your technical support agent suggest you to re-sort your lists

You need re-sort the following lists:

  • The Master Name list (a combination of Customers: Jobs, Vendors, Employees and Other Names)
  • The Chart of Accounts (Account list)
  • The Item list

A note on re-sorting Chart of Accounts and Item List

QuickBooks re-sorts lists basically depend on the initial three digits of the Item or Account number. Your Chart of Accounts or the Item List may become unordered if you have two or more than two accounts or items listed.

If you own a business with a nature in which all item or account numbers needs to be sorted sequence wise then the ideal workaround is to create a 1 to 3-digit number prefixed for every item or account number.

Re-sort Master Names List

Re-sort lists in QuickBooks for Windows

Any QuickBooks user can easily perform the Re-sort process. Once you are done with the re-sorting process, you will have to close and reopen the QuickBooks company file to save changes.

Follow the below-mentioned steps to do so:

  • Go to the Banking menu and click on the Write Checks/Checks
  • Click on the Pay to the order of field and then press Ctrl + L from your keyboard in order to open the master Name List.
  • Mark the Include Inactive The checkbox will be grayed out if there are no inactive names in the list.
  • From the Name drop-down, click on Re-sort List.
  • If you get a message that says: Are you sure you want to return this list to its original order?, click on OK.
  • Navigate to the Find window (if you do not have Banking permissions):
    • Click on Edit and then select the Find
    • Go to the Advanced tab and select Name from the Filters
    • Click on the Name field and press the Ctrl + L
    • Checkmark the Include Inactive box by just click on it. The checkbox won’t be available if you don’t have any inactive names in the list.
    • Select Re-sort List from the Name drop-down
    • If you get a confirmation message that says: Are you sure you want to return this list to its original order?, click on OK.
  • If the above-mentioned steps couldn’t re-sort the name list then you can perform the below-mentioned steps:
    • Go to Company and then select Make General Journal Entries.
    • Click on the Name field and then to show the Names List, press the Ctrl + L.
    • Click on the Include Inactive checkbox from the bottom of the list.
    • Select Name drop-down and then click on Re-sort List.
    • Click on OK.
    • Close and reopen your QuickBooks company file to save changes.

Re-sort Chart Of Accounts, Item List

  • Navigate to the List menu and then click on the list that you want to re-sort (Chart of Accounts, Item List, etc).
  • Checkmark the Include Inactive box by just click on it. The checkbox won’t be available if you don’t have any inactive accounts, items in the list.
  • Select Re-sort List from the Name drop-down
  • Click on OK to the confirmation message.

Re-sort Memorized Reports List

  • From the main menu, go to Reports > Memorized Reports > Memorized Reports List
  • From the Memorized Reports drop-down list, click on Re-sort List.
  • Click on OK on the confirmation message.

Re-sort Payroll Item List

  • Go to the Lists menu and then select the Payroll Item List.
  • Checkmark the Include Inactive box by just click on it. The checkbox won’t be available if you don’t have any inactive payroll item in the list.
  • Select Re-sort List from the Name drop-down
  • Click on OK to the confirmation message.

Re-sort Lists For QuickBooks For Mac (Applies To US Only)

Any QuickBooks user can perform the re-sort process. Once you are done with the process, you will have to close and re-open the QuickBooks company file in order to save the changes.

Customer list

  • Go to the Customer Center.
  • Select the Edit option from the top left of QuickBooks screen.
  • Click on Re-sort List.
  • If you get a confirmation message that says: Are you sure you want to return this list to its original order?, click on OK.

Master Name List

  • From the Banking menu, click on Write Checks.
  • Click on the Pay to the Order Of field and press the Command + L key for opening the Master Name list.
  • Make sure that the All Names option is selected at the bottom of the list (If you are on a newer version of QuickBooks then you need to mark the Include Inactive).
  • Click on Edit at the top left of QuickBooks and click on Re-sort List.
  • Click on OK to the confirmation message.

Chart Of Accounts

  • From the List menu, go to the Charts of Accounts
  • Make sure All Accounts (or Include Inactive in newer versions) is selected.
  • Click on Edit and then select Re-sort List.
  • If you get a confirmation message that says: Are you sure you want to return this list to its original order?, click on OK.

Item And Class List

  • Go to the Item or Class list
  • Select the Edit option from the top left of QuickBooks.
  • Click on Re-sort List.
  • If you get a confirmation message that says: Are you sure you want to return this list to its original order?, click on OK.
